Procedures

It has been brought to my attention that our communication system did not work on Monday to inform all parents of the middle school 6/7/8 game cancellation. I am sorry.

What follows is my explanation of why, if you do not have ready access to computer service, it is your responsibility to contact someone, repeatedly if necessary, and learn about changes.

I watched and communicated about the possibility of cancellation throughout the day. I communicated by email, website and Facebook. I called as many people as I could which I do not want to do. The telephone is cumbersome and inefficient. Most people are not home. I do not have a child on that team.

The final cancellation was announced @ Warsaw Middle School and Somerset Valley Middle School. I know those phone numbers by heart. I was in my car tending to our child that does not play lacrosse. I am sorry to students @ Sebasticook and Etna-Dixmont.

The process was difficult to do because the notice came to me five minutes prior to the close of the school day AND just ten minutes earlier PenBay had elected to change the location but not to cancel. It was harried and confusing.

People were missed and I am sorry.

If Board Members or Coaches are tied up making thirty phone calls (often from places of their employment and livelihood) that is problematic.

We need more than five adults to attend monthly open Board of Director's Meetings. (These are held, and have been held, for a year, on the first Thursday evening of every month @ PCC.)
Yesterday I needed players and parents, at the last moment, to line fields. There is no mechanism to shift that work. There are plenty of automated mechanisms to avoid calling 30 players.

You can have a connection buddy.
Many people text, email and call me.
And you might need to check in more than once on a rainy day.
Please, additionally forgive me when I make mistakes. I will, do and did.

Recreational clubs run on industry, commitment and parent power. They require work. It is important, as a new club, to create procedures which outlive the originators. I will retire from President at the close of next year 2015. We need policy's and procures independent of my tenure.

We got a GREAT thing going....! I am very sorry people drove unnecessarily to Camden on Monday. Such mistakes present yet another learning opportunity and I am so willing to learn more. Your help, knowledge and contribution are welcomed. Come to our next meeting, which must be moved to June 12th, 6:00pm PCC, because of a Warsaw Middle School Concert.
